Phone Tips and Tricks: Using Headsets with Your NEC Phone

Are you a headset user? I hope so. Studies show headsets reduce neck and back pain while improving productivity. I personally wouldn’t know what to do without my headset.

The following instructions are for setting up a button to control your corded headset on your NEC phone.

Wireless headsets generally use a lifter for you to control the call from the headset top. This allows you to be away from your desk and still answer your call.

Program a Headset Button for Corded Headsets   

NEC Univerge 8100, 9100, and NEC IPK II phones

While your phone is idle:

Dial 751

Press the button to be programmed

Enter 05 (zero then five)

Press Speaker

NEC IPK I and older systems

Needs to be programmed by a technician.

La Nina Winter on the Way

“El Niño/La Niña-Southern Oscillation, or ENSO, is a quasi-periodic climate pattern that occurs across the tropical Pacific Ocean on average every five years, but over a period which varies from three to seven years.”-Wikipedia

By all accounts it could be a tough winter. Winters like this bring with them the usual failures in infrastructure, power spikes, surges, and outages, dead phone lines, etc. Now is the time to start thinking about what you are going do if (insert disruption here)?

Things to check:

Backup batteries, usually inside a telephone system or attached UPS usually are only good for 3-5 years. After that expect short run times, no run time, or even gas leaks from sealed lead acid batteries.

Things to do:

Get remote call forwarding on your business telephone lines. This will provide business continuity in the event your facility is without power or telephone lines for an extended period of time. Keep a copy of the instructions off-site or on your person in the event your facility is inaccessible.

Get a generator so you can keep your business running at normal or reduce capacity if your facility is without power for an extended period of time. This will allow you to keep operating your telephone system, computers, servers, etc. even after all your backup batteries are used up. Don’t forget the extension cords you’ll need to hook everything up and reach a portable generator outside. Never run a portable generator inside!

Have some flashlights or battery powered portable lights on hand. Even if you have windows that let daylight in you will still need them for restrooms.

A little attention to these items now will go a long way to reducing the negative impact of a service outage.

Here is a Winter Checklist for Your Telephone System

Don’t let the first snow day catch you unprepared. Take a few minutes now to make sure your telephone and voice mail system are ready for this winter season.

Here is a quick checklist:picture1

  1. Are your voice mail greetings up to date? If you use an alternate greeting for snow days or holidays are they recorded?
  2. Who has administrative rights for your system? We always suggest more than one person has rights. Generally only administrators can change company voice mail greetings.
  3. What is your snow day procedure? A little planning now can eliminate confusion later.
  4. If you are using back up batteries now is a good time to test them. Most back up batteries need to be replaced after about two years.

Phone Tips and Tricks for NEC 8100 System Managers

When receiving calls from another extension you have two options. The two options are:

  1. Hands free Answerback – after a short beep you can immediately speak to the extension you called. They do not need to touch their phonefinger phone but can answer your call hands free.
  2. Force Ringing for Intercom Calls – the phone rings when receiving an internal call. The receiver will have to answer your call by lifting the handset, hitting the speaker button or picking up your call with their headset.

Why would you want to switch between the modes? It’s convenient to have the Hands free Answerback mode since it saves time on waiting for the receiver to pick up the call. Plus the receiver can respond without touching their phone. On the other hand, having the phone ring is more private and for some less disruptive. The default setting selected by your system administrator will be programmed for you, but you can switch between these two options by following the instructions below (IPK I, IPK II and SV8100):

  1. Initiate an intercom call
  2.    Press 1 to toggle between voice announce or ringing the extension

For users of IPK II and SV8100, you are able to change how your phone responds to an Intercom Call by following these steps:

  1. Hands free Answerback
  2. Press the Speaker Key
  3. Dial 721
  4. Press the Speaker Key
  5. Forced Ringing for Intercom Calls
  6. Press the Speaker Key
  7. Dial 723
  8. Press the Speaker Key
